Teams & seats
If you’re rolling Kubius out to a team, you can buy a pool of seats and assign each one to a teammate. Everyone signs in with their own account and gets their seat - there’s no shared login, and you can reassign seats whenever people join or leave.
You can run more than one team - for example, one per business - each with its own pool of seats and its own invoices, kept completely separate.
Your teams
Everything is on the website, under your account’s Teams tab:
- It lists every team you own, with how many seats each has and how many are assigned.
- + Create a new team makes a fresh, empty team - give it a name (e.g. your company name) and you’ll be taken straight to its page to buy seats.
- Manage → opens a team’s own page, where you buy seats, assign them, and view invoices.
Managing a team
A team’s page has three tabs:
Licenses
This is where you see and manage the team’s seats. Each row shows the plan, who it’s assigned to, its end date (team seats are one-time, so they show Lifetime), and how many devices are in use.
- Assign a free seat by typing a teammate’s email and clicking Assign. They sign in to Kubius with their own account (the same email) and their seat activates automatically - no key to share.
- Unassign frees a seat; that person loses access on their next launch and the seat becomes available for someone else.
- Filter the list by assigned email to find a teammate quickly, and choose how many seats to show per page (10 by default).
Seats
Buy more seats for this team. Pick a plan (Standard or Pro), the number of seats, and your currency, then Continue to payment. Pricing is a flat price per seat, and the total is shown live - listed prices are net, with VAT/Tax added on top at checkout where it applies.
Checkout is a quick two-step flow: first review (or fill in) the team’s billing details, then a review & pay screen itemises the subtotal, any VAT, and the total, with the option to apply a coupon before you pay. The team’s billing must be complete before you can pay - and if a VAT/Tax number is entered, it must verify against the registry. New seats appear on the Licenses tab as soon as the payment completes, and seats are one-time (nothing to renew).
Invoices
Every seat purchase for the team produces an invoice here, showing the date, amount and seat count. Click Download for the PDF. The team’s name is printed on the invoice, so each business’s paperwork is clearly its own.
Billing
Each team can have its own billing identity - a contact name, company name, address and VAT/Tax ID - kept separate from your personal billing. These details appear on the team’s invoices and decide the VAT on its purchases, so a team for one business bills entirely as that business. A VAT/Tax number is checked against the registry when you save it; if the registered company name differs from the one you entered, Kubius asks you to confirm which to keep.
When you first create a team, its billing details default to your own current billing information, so there’s nothing to fill in unless this team bills as a different business - just adjust what’s different.
There’s also a billing email: invoices for the team are sent there as well as to you. It defaults to your own email when a team is created, so if you don’t change it you’ll just get the one copy.
Deleting a team
If a team is empty - it has no seats - you can delete it from the team’s page (under Billing). This is handy for a team you created by mistake or one you’ve wound down. A team with seats can’t be deleted: unassign and let the seats lapse first, or keep the team around for its invoice history. Deleting a team removes it from your Teams list; its past invoices remain available to you.
How it works for a team member
A teammate doesn’t do anything special. They:
- Download Kubius and sign in with the email you assigned the seat to.
- Kubius activates their Mac on their seat and unlocks the plan you bought.
Their seat counts its own devices, just like an individual licence. Because the seat is managed by you (the team admin), team members don’t see upgrade or renew prompts for it - that’s all handled from your team’s page.
